    the Services are unique to the Subscriber and will not be issued to any other Subscriber while the Services remain in force b The Service Provider may terminate or suspend any IDs Passwords issued to the Subscriber if the IDs Passwords have not been in use for an extended period of time or when Subscriber fail to submit ageing records as determined by the Service Provider in its sole discretion c The Subscriber agrees to indemnify the Service Provider at all times against any liabilities actions claims proceedings losses and damages arising from any unauthorized use or misuse of any IDs Passwords issued to the Subscriber under this agreement so long as this agreement remains in force 5 AVAILABILITY ACCURACY OF SERVICE a All information and services furnished by the Service Provider is supplied in strict confidence for the exclusive use of the Subscriber The Subscriber undertakes not to divulge the information to any third party without the written consent of the Service Provider and shall indemnify and keep the Service Provider indemnified at all times against all claims actions proceedings losses and damages arising from the breach of such undertaking b The Service Provider reserves the right to change the contents presentation Subscriber facilities and availability of the Services at its sole discretion c DPI makes no representation or warranty expressed or implied with regards to the Services and or the accuracy of the information that is supplied obtained and or furnished under the Services including the fitness of the Services for any purpose whatsoever Any purported reliance by the Subscriber on the accuracy and or veracity of the information that is supplied obtained and or furnished by DPI hereunder is strictly at the Subscriber s own risk d If the Subscriber requests for any special or additional information not normally furnished by the Service Provider the Service Provider may at its discretion accept or reject such request If the Service Provider accepts such special request the Service Provider may quote special charges for prior approval by the Subscriber 6 SUBSCRIBER CONTRIBUTION COMPLIANCE a All data records furnished by the Subscriber must be traced to invoices contracts that the Debtors have of commercial obligations with the Subscriber b The Subscriber shall undertake to submit the relevant accurate and timely information to the Service Provider its representatives or authorised credit bureau providers in multiple countries on a monthly basis to avoid any disruption to the subscribed service c The Subscriber agrees that all information provided by the Subscriber has been validated as complete true and accurate and the Subscriber hereby agrees to indemnify and keep the Service Provider fully indemnified against all loss and damages costs and expense including legal cost on a full indemnity basis as between solicitors and clients in the event that a claim proceeding and or action shall be made and or instituted against the Service Provider by any third party ies by reason of the information that was provided by the Subscriber to the Service

    idea for a new procedure should include the status of the procedure and how it arrived at that point the alternatives opinion about the best alternative reasons why it is the best alternative the objective and expected result 3 Improve collection letters Letters should read like your favourite advertisement short and to the point Use two sentences per paragraph and short words do not start sentences with I my or our 4 Use time limits and turn arounds Establish a one minute maximum for calls unless a payment arrangement is being made Shorter phone calls mean more contacts and more chances to improve cash flow Train collectors to use turn around statements effectively in which they return conversations to the point when debtors begin to talk about life problems and reasons for non payment For example a collector can say We understand your problem Mr Tan Our job is to work out a payment schedule Have the collectors write out a list of six sample turn around statements 5 Handle complaints without emotion A collector will improve cash flow by focusing on complaints Also train collectors to listen better by attending to the entire complaint and to repeat the debtor

    information during the telephone call follow up process and when negotiating for a settlement These are all opportunities for confrontation The flight or fight reaction associated with this is built into us by evolution to either run away from the tiger or wrestle it to the ground till it becomes unconscious Flight or fight is a natural reaction to stress because we all know that confrontation can have serious consequences especially if handled badly Success in getting paid arises not from defeating your debtor upsetting them or making them turn defensive but from having them to do what you want them to do by making them pay you If a person has the goal of destroying their debtor or if the confrontation gets ugly the consequences can include loss of sleep anxiety damaged dignity reputation and soured friendships And worst still this can lead to you avoiding debt collection situations altogether because you naturally want to avoid an unpleasant scene It can also distract you from the serious business of making money or get you a reputation as an easy mark your clients can get off without paying you A positive confrontation is one that is intentionally created by you to get you the result that you want within controlled limits and without harming yourself or your customer Personal dignity is a human being s most cherished possession so if you want co operation don t attack a person s dignity In confrontation a good grasp of the facts contributes more to confidence than your basic personality style so keep good records and review them as part of your preparation for any discussion over overdue accounts owing Positive confrontation is not like a verbal boxing match it is more like herding a cow What you want is for the cow

    don t always have complete control over the terms of your sales agreements The reality is that your biggest and best clients want to be billed quarterly and then have sixty days to pay you And you certainly don t want to cut off those clients While you don t want to destroy any potential or established business relationships by laying down harsh or strict payment terms you must take some control of your account receivables to avoid wreaking havoc with your cash flow You re not a bank after all These five steps can help your cash flow without endangering it 1 Watch for new customers with a bad credit history You can t expect that a company or a person with a history of bouncing cheques or paying their bills late will change their ways when dealing with you If you must do business with the habitually late paymasters lay down your credit rules early and firmly and start the relationship off slowly Keep the amount of product or services you offer a company with a bad credit record to a minimum until they ve proven themselves worthy And no matter how much you need the business never start doing business with another person or company until you have signed a contract clearly stating and agreeing to the payment terms 2 Once you begin doing business with someone make sure you stamp your invoices with the date that payment is due to you Don t rely on the customer to look at the invoice date and add thirty days or whatever your payment terms are to determine the payment date 3 Offer discounts for early payment and add interest to late payments A typical discount is two per cent to three per cent off the total if the
